Clinic Equipment Quotes: A Configuration and Delivery Checklist
Clinic Equipment Quotes: A Configuration and Delivery Checklist
A useful equipment quote identifies the exact device or table, the supplied accessories and how it will reach your facility. Before comparing totals, make sure each supplier is quoting the same configuration. This purchasing checklist helps clinics prepare an order without assuming that every feature shown in a product-family photograph is included.
1. Start with the exact model and configuration
List the manufacturer model, supplier item number and required functions on the purchase request. For a monitor, specify which measurement modules your team has approved. A family name alone may cover several configurations.
The Edan M3A blood-pressure monitor, C66-302302012, is the NIBP-only configuration. Cardinal Health's M3A specifications list separate item numbers for oxygen-saturation, temperature and printer combinations. Put the required configuration on the quote instead of assuming those options come with every M3A.
2. Ask for an itemized package
Have the quote name the device, cuff sizes, sensors, cables, power accessories and any stand or wall bracket. Ask which parts are included and which are additional purchases. For replacement accessories, match the device model and accessory part number, including the connector requirements.
The ProBP 2400 device package, 163-2400, includes adult and large adult cuffs. Welch Allyn's specification sheet gives their ranges as 22–32 cm and 32–42 cm. The Medline Canada ordering catalogue lists the mobile stand and wall bracket separately. Request those explicitly if needed.
3. Confirm the complete table configuration
For an examination or treatment table, identify the base, upholstery style and colour, adjustment controls and accessories. Ask whether the quoted price covers a complete table or selected components. Request the specification sheet for the exact configuration being supplied.
Record the footprint, operating-height range, electrical requirements and stated load capacity. Check these against the room and your facility's requirements. Manufacturers may offer different models, upholstery packages and optional accessories under a shared product-family name; do not use a photograph as the final specification.
4. Resolve delivery and support before ordering
- Confirm the delivery address, floor, doorway and elevator access.
- Ask whether the delivery service is curbside, inside or includes placement and assembly.
- Request the current lead time and identify any made-to-order choices.
- Ask who handles installation, service, warranty enquiries and replacement parts.
- Confirm freight, taxes, optional items and any cancellation or return conditions on the written quote.
These are questions to settle for the specific order, rather than promises that a service or accessory is included. Have the person responsible for equipment selection review the final model and configuration. Keep the approved quote and specification sheet with the purchase order so receiving staff can check the delivered items against the agreement.
